Privacy Policy
Last updated November 3, 2026
Huddla is run by New Odyssey ("we", "us"). This policy explains what we collect on the Huddla website and in the Huddla app, why, who processes it and the choices you have. Huddla's data export and deletion policy gives the app's details: exactly what each workspace holds, how long it's kept and how to export or delete it. Our terms of service cover the rest of our agreement with customers.
1. What we collect
- Your account: your email address, your name if you add it, your sign-in history and, when you sign up, where you came from (for example a link or campaign tag).
- Your workspace: the settings and content you add to Huddla, and what Huddla produces for you.
- Information about the people you invite to your polls, and people who join a poll from its shareable link, which you or they enter in Huddla. You control it (see section 6).
- Billing: your plan, subscription or license status and invoices. Card details are held by Stripe, never by us.
- Usage and security: which features are used and when, error reports, and a security log of sign-ins and key actions. We keep a one-way hash of IP addresses to stop spam and abuse, not the address itself, except where a feature records it as evidence (for example an approval record).
- On the website: when analytics is switched on, page views and labeled interactions (such as which button was pressed and how far a form got), never your email address or anything you type; the campaign (UTM) parameters in the link you followed and the referring website; and standard server logs kept by our hosting provider.
- If you joined a waitlist: your email address and anything you told us about how you'd use the product.
2. How we use it
- To provide Huddla: run your workspace, carry out what you ask, and send the emails the service needs (sign-in links, billing notices and notifications you can control).
- To help you get started and get value from it, with a few onboarding and product emails; each has an unsubscribe link.
- To support you, keep the service secure, prevent fraud and abuse, and meet our legal obligations.
- To understand which channels bring people to us and which features matter, using aggregated or de-identified numbers.
We don't sell your personal information, we don't share it for cross-context behavioral advertising, and we don't use your content to train AI models or share it with other New Odyssey products.
3. AI processing
When you use an AI feature, the content it needs is sent to the AI provider listed below only to produce that result. Under their API terms, our AI providers don't use this data to train their models, and they may keep it for a limited time (typically up to 30 days) to monitor for abuse.
5. Huddla's own details
If you were invited to a Huddla poll, the organizer controls your name, email, answers and comments. Ask them, or email us, to see, correct or delete them. If you filled your answers from your calendar, Huddla read your free/busy once for the poll's times and kept no access to your calendar.
6. Information about your customers
For information about the people you invite to your polls, and people who join a poll from its shareable link, the business using Huddla decides what's collected and why, and we process it on that business's behalf. If you're one of those people, contact the business first. You can also email clio@new-odyssey.com and we'll pass your request on or help.
7. How long we keep it
We keep account and workspace information while the account exists, and delete it as the data export and deletion policy describes when you delete it or your workspace. Backups held by our hosting provider expire on its standard schedule. A minimal security log, with no content, is kept so misuse can be investigated. Waitlist details are kept until the product launches and you've had a chance to sign up, or until you ask us to remove them.
8. Your rights and choices
You can ask to see, correct, export or delete your personal information, or to stop non-essential emails, at any time. Email clio@new-odyssey.com; we reply within 5 business days and act within 30 days. We give these rights to everyone, whichever US state or country you live in, including the rights California and other states' privacy laws provide, and we won't treat you differently for using them. You can also delete your workspace yourself, and unsubscribe from any non-essential email with one click.
9. Security
We protect information with encryption in transit, encryption of stored access tokens and secrets, separate workspaces, role-based access and audit logging. No system is perfectly secure; if we learn of a breach that affects your information, we'll tell you as the law requires.
10. Children
Huddla is for businesses and isn't directed at children. We don't knowingly collect personal information from children under 13. If you think a child has given us information, email clio@new-odyssey.com and we'll delete it.
11. Where information is processed
Our service runs on servers in the United States. Some providers may process information in other countries, under safeguards the law requires.
12. Changes and contact
We may update this policy and will change the date above when we do, and email account owners before a material change. Questions go to clio@new-odyssey.com.
